Handling of Personal Job Application Data

Mizkan Asia Pacific Pte. Ltd. (hereinafter referred to as "MAP" or the "Company") recognizes the importance of the personal data entrusted to us by our customers, trade partners and employees. In this regard, MAP is committed to comply with any relevant laws, regulations and guidelines relating to the protection and appropriate handling of personal data, including but not limited to, the Personal Data Protection Act 2012 in Singapore and all related subsidiary legislation (hereinafter referred to as the "PDPA") , the Personal Information Protection Act in Taiwan (hereinafter referred to as the “PIPA”) and the Personal Data (Privacy) Ordinance (Chapter 486 of the Laws of Hong Kong) (hereinafter referred to as the "PDPO").

  1. Definition of Personal Data

    Under the PDPA, PIPA and PDPO, personal data refers to any data, whether true or not, about an individual who can be identified from that data, or from that data and other information to which an organization has or is likely to have access. Common examples of personal data could include names, identification numbers, contact information, medical records, photographs and video images.

    MAP will collect personal data in accordance with the PDPA to the extent the personal data is collected in Singapore, the PIPA to the extent the personal data is collected in Taiwan and the PDPO to the extent the personal data is collected in Hong Kong. In this regard, MAP will ensure that it notifies any individual from whom MAP collects personal data of the purposes for which their personal data may be collected, used, disclosed and/or processed, as well as obtain that individual's consent for the collection, use, disclosure and/or processing of that individualh their personal data may be collected, used, disclosed and/or processed, as well as obtain that individual's personal data for the intended purposes, unless an exception under the law permits us to collect and process such personal data without consent.

  2. Collection of Personal Data

    MAP may collect the personal data of job applicants to the extent necessary for recruitment activities.

    When the personal data of job applicants is directly collected in writing, such as through a screen on an Internet web page, MAP will first notify the job applicants of the purposes for which the personal data is being collected, used, disclosed and/or processed; the persons to whom personal data may be transferred; personal data's retention period; and the rights of the persons from whom personal data is being collected to access and correct their personal data, while at the same time providing them with the contact information of the person he/she should contact within MAP for such purposes.
    For personal data collected through third parties such as subcontractors, or from information available in public domain, MAP will ensure that it takes reasonable steps and adopts the appropriate procedure to ensure that the collection of personal data from the aforementioned sources is performed lawfully and validly.

  3. Purposes For Collection, Use, Disclosure and Processing of Personal Data

    MAP will use, disclose, and handle personal data directly obtained from job applicants only within the scope necessary to achieve the intended purpose clearly indicated to the applicants in advance.

    Personal data collected by methods other than the above may be collected, used, disclosed, and handled for any of the following purposes according to circumstances.

    • MAP recruitment activities such as sending company information, review of applications and notification of results; and/or
    • Creation of statistically processed information in a way that does not identify individuals.

    In the event that the personal data of job applicants will be used beyond the scope of the intended purpose, MAP will inform the applicants of a new purpose in advance and obtain their consent. MAP will not use the data without the applicants' consent.
    Additionally, to facilitate MAP's business, MAP may disclose the personal data provided to MAP's affiliates inside and outside of Singapore/, Taiwan/ and/or Hong Kong, for one or more of the above -mentioned purposes. MAP's affiliates refer to the following companies:

    • Mizkan Holdings Co., Ltd.;
    • Mizkan J plus Holdings Co., Ltd.;
    • Mizkan Co., Ltd.;
    • Mizkan Partners Co., Ltd,
    • Mizkan Logitec Co., Ltd.;
    • Nakano Sumise Co., Ltd.;
    • Mizkan Asset Co., Ltd.;
    • Mizkan America Holdings Inc.;
    • Mizkan America, Inc.;
    • Mizkan America Partners, Inc.;
    • Mizkan Euro Holdings Limited;

    • Mizkan China Co., Ltd.

    The personal data that will be shared with the above companies will include the name, address, telephone number, gender, birth date, e-mail address and other personal information of the applicants.

  4. Control and Protection of Personal Data

    MAP will make efforts to protect the personal data from leaks through appropriate and strict controls when handling the personal data provided by the job applicants. Additionally, MAP will implement appropriate and reasonable levels of safety measures to protect the personal data of the job applicants from risks such as unauthorized access from an external network.

    MAP will take steps to promptly delete or anonymize personal data that is owned and controlled by MAP when it achieves the intended purpose and is no longer required to hold the data for any legal or business purposes.

    MAP may outsource the handling of personal data to a subcontractor. In doing so, MAP will take measures to appropriately and strictly control the personal data of the job applicants by signing a contract or indicating its consent by other means.

  5. Provision of Personal Data to Third Parties

    MAP will not disclose or provide personal data from the job applicants to any third party except where:

    • The job applicants have given their consent;
    • MAP has informed the job applicants that it may outsource the handling of personal information to a subcontractor for achieving the intended purpose;
    • MAP cannot identify any job applicant through statistical data; or
    • MAP is requested to disclose or provide personal information by laws and/or regulations.
  6. Accuracy of Personal Data

    MAP will take reasonable efforts to ensure that personal data collected by it is accurate and complete, if such personal data is likely to be used by MAP to make a decision that affects the job applicant to whom it relates, or disclosed to another organization. However, this means that the job applicant to whom the personal data relates is required to notify and update MAP of any changes in his/her personal data. MAP will not be responsible for relying on inaccurate or incomplete personal data which is a result of the failure of the job applicant to whom the personal data relates to notify and update MAP of any changes in his/her personal data.

  7. Cross-Border Transfer of Personal Data

    In the event that MAP transfers personal data out of Singapore, Taiwan and/or Hong Kong, MAP will comply with the PDPA, PIPA and/or PDPO (as applicable) in doing so. In this regard, this includes MAP obtaining the consent of the job applicant to whom the personal data relates unless an exception under the PDPA, PIPA and/or PDPO (as applicable) applies, and taking appropriate steps to ascertain that the foreign recipient organization of the personal data is bound by legally enforceable obligations to provide to the transferred personal data a standard of protection that is at least comparable to the protection under the PDPA, PIPA and/or PDPO (as applicable).

  8. Complaints and Other Personal Data Related Requests

    Individuals who wish to submit a complaint, query or request to access, correct, update or withdraw the consent to the continued use, disclosure and/or processing of his/her personal data may do so by contacting MAP at the following:

    • Address and Telephone No. in Singapore to be inserted
    • Address and Telephone No. in Hong Kong to be inserted
    • Address and Telephone No. in Taiwan to be inserted

    MAP will endeavor to respond promptly upon the receipt of any complaint, query or request.

  9. Revision of Handling of Personal Job Application Data

    MAP will endeavor to continuously improve our commitment to the protection of personal job application data.(①)
